Guidelines

The Convocation of Amity University Haryana for the students who have successfully completed their Academic Programmes in 2019 will held on 01st February 2020 in Amity University Gurugram Campus.

On-line Registration-cum Confirmation

It is mandatory for all the eligible students to register on-line at www.amity.edu/gurugram/convocation latest by 28th Jan 2020 as per letter sent to you through Registrar Office. The students who do not register on time will then first be directed to Registration desk to Complete Online Registration and then they’ll be directed to Accounts Desk to make Payment for Gown Rental etc. Such Students are required to visit the Registration desk by 09:00AM

The Recipients who are not able to attend the Convocation and wish to have their degrees in absentia shall pay a fee of Rs. 1000/- to the University for the same. Degrees can be collected by the students themselves after the Convocation or their degrees will be mailed by Registered post. You are therefore, requested to submit application for the same on www.amity.edu/gurugram/convocation, incase you are not attending the Convocation. Register Online and give your complete and correct postal address on which your degree can be dispatched. Degree willn’t be sent to them in the absence of Online Registration no.

Following instructions are to be strictly followed in the Convocation

Dress

Formal Dress will be worn for the function as indicated below:
Gents :
Lounge Suit/ Combination with a tie, Black Shoes and Socks.


Ladies :
Saree/ Suit/Western(Jacket/Trousers with tie)
Those not properly dressed will not be permitted to participate.

Guests

  • The Recipient of the degree is allowed to bring maximum of two guests.
  • Only parents, blood relations (brother/sister) or spouse of recipients are allowed.
  • Children below 15 years of age are not allowed.
  • Dress regulations will also apply to guests.
  • Recipients desirous of bringing guests, will forward their particulars along with their confirmation letter in the format given at Annexure – A by 28th Jan 2020 so that appropriate courtesy and hospitality is extended to them.

Participation

  • Students whose confirmations are not received by 28 Jan 2020 will not be allowed to attend the Convocation; First, They would require visiting the Registration Desk for Online Registration, post which degree would be awarded
  • Students, who have confirmed, are required to report/register at the stipulated time given in para-1.
  • Detailed instructions on the Conduct of the Convocation will be issued separately at the time of the registration also.

Convocation Gowns / Caps

All Candidates will be issued gowns and caps at the University and they will wear it throughout the function. Gowns will be returned by them after the Convocation on the same day.

The payment option for gown rental and security / gown purchase will be available at Registration Desk.

Gown Security Amount : Rs 1100/- ( Rs 1000/- refundable at the time of return ##)
## If Complete Gown Set is returned otherwise amount will be deducted according to missing Gown items.

Timings

  • The Recipients of the degrees, after registration by the stipulated time, will be seated in the Convocation Ground – Campus Plaza by 11.00am for further Instructions.
  • Once seated, there will be no unnecessary movements in the Convocation Hall and perfect discipline will be maintained.
  • The Recipients are not to leave the Convocation Hall before the function is over and the Academic Procession has left the Hall.
  • The Recipients should make their travel plans keeping in mind that the convocation will not be over before 7.30pm.

Procession

All present in the Convocation Hall will rise when the Procession enters and when the Procession leaves the Hall.

Lunch

Lunch will be served after the main convocation to all students and guests. Students who are coming along with their guardians are requested to please ensure they mention it in Online Registration so that necessary arrangement and courtesy can be extended to them.

Degrees/Marksheets/Value
Addition Courses Certificates

The Degrees, Marksheets and Value Addition Certificates will be presented by the respective HOIs at designated venues.

Photography

Photography facility will be available for the graduands if they wish to get themselves photographed.




The degree distribution will start from 2.30pm at the designated venue. Therefore, you are advised to be seated at your designated seat latest by 2.15pm.

Entry into the Degree Distribution Venue

02:00 pm to 02:15 pm

Briefing for Degree/Diploma Distribution

02:15 pm to 02:25 pm

Degree/Diploma Distribution at specified venues – Part –II

02:30 pm to 05:30 pm

Individual Photograph near Gown Counter in Main Ground Return of Convocation Gowns & Refund of Security Deposit (After Degree Distribution Ceremony is over)

05:30 pm to 06:30 pm

  • After the Degree Distribution Ceremony, you will return the Gown at the Gown Counter for Late Comers at the same venue where registered in the morning and will get a refund of Rs. 500/- only after deduction of Gown Rent of Rs. 100 and Late Registration Charges of Rs. 500/- from the Accounts Counter at the same venue.
  • Photographers are available after Degree Distribution Ceremony in the enclosure marked as Robing Area near Hospitality area at the Main Ground
  • You may get your photograph clicked after making an on the spot payment of Rs.100/- for the same after Degree distribution ceremony. Also give your address to the photographer where you want the photograph to be delivered. The photograph with a message of the Chancellor will be delivered at the address provided by you.
  • For any help please contact the faculty members available at A block till lunch time. Thereafter, you contact your faculty at the venue of degree distribution ceremony.
